What is a CMS?

A content management system (CMS) is a computer application used to create, edit, manage, and publish content in a consistently organized fashion.

CMSs are frequently used for storing, controlling, versioning, and publishing business-specific documentation such as news articles, operators' training, technical manuals, sales guides, and marketing materials as well as a communication tool to share information between selective groups or individuals.

The content managed may include computer files, image media, audio files, video files, electronic documents, and Web content.


Why would you need a CMS?

Static websites are ideal if you want to display a block of static content with few changes month to month to everyone. A web designer can create a series of pages that need very little maintenance perhaps showing your business information, your product line, contact information and a few pages of images and text relative to your product or business.

A content management system encompasses the features of a static site but is also created to be dynamic, an ever changing entity that can be updated within minutes by almost anyone from almost anywhere. Those updates can be programmed to alert all or a selective list of users immediately on completion.
One of a CMS's greatest assets is to control restricted access to edit and or view system content. The ability to give selective access to individuals or groups opens up endless options for effectively managing your business and it's content.

A great example of using these features in tandem is for a training module of your site. You may want to have a section of your site restricted to staff or clients whereby only a group of users have access sensitive training or client information.
When that information is updated that group of users can be immediately informed and important information can be accessed in real time.

This general functionality can be duplicated as many times as needed and can encompass access to any other module with restricted or full access.
The end result is the ability to create any combination of content delivered to any or multiple user groups with options to view, edit or moderate.

Many clients build a CMS to be exclusively private, only those who are granted access many view the information within, thus creating a private database of information staff or clients can access in real time from any browser in any part of the world.
A powerful CMS can greatly increase efficiency by handling many tasks simultaneously, getting information out to the appropriate people in real time and handling and organizing your operating content effectively.

In the past a CMS may only have been viable for large corporations due to the huge overhead in creating a custom program but with the advance in open source code, and the huge communities that support it a viable CMS system for your business can be a fraction of the cost of only a few years ago.
